Privacy Policy

1. Who we are

This policy explains how Wholesale Distributor, doing business as Black Label Fragrance (“we”, “us”), 2612 Howard Loop, Salado, TX 76571, collects, uses and shares personal information through blacklabelfragrance.com and our emails and texts. Questions or requests: hello@blacklabelfragrance.com.

2. What we collect

  • Identifiers and contact details: name, email, phone number, billing and shipping address. From you, at checkout or account sign-up.
  • Order and purchase history: products, sizes, prices, order dates, coupons used. From your orders.
  • Payment information: card type and last four digits, payment status. Full card numbers go straight to our payment processor; we never see or store them.
  • Account details: login email and password (stored encrypted), saved addresses. From you.
  • Marketing preferences and consent records: whether you agreed to emails or texts, the wording shown and the time. From you, at checkout or sign-up.
  • Reviews and messages: review text, ratings, photos, emails you send us. From you.
  • Device and usage information: IP address, browser, device type, pages viewed, products viewed or added to cart, referring site or campaign. From cookies and similar technologies on the Site.

We do not knowingly collect sensitive personal data (such as health, biometric or precise location data), and we do not sell it.

3. How we use it

To process, ship and support your orders; to run your account and any membership; to send order, shipping and account messages; to send marketing emails or texts you have agreed to; to remind you about a checkout or cart you left, if you gave your email; to ask for a review; to prevent fraud and secure the Site; to understand how the Site is used and improve it; and to meet legal, tax and accounting duties.

4. Cookies and tracking

We use cookies that keep your cart, checkout and login working, plus:

  • Analytics and order attribution: WooCommerce’s store analytics and order attribution, which records how an order reached us (for example a referring site or campaign).
  • Email marketing tracking: Klaviyo’s site tracking, which links pages and products you view to your email address once you have given it to us, so we can send relevant messages. It also records email opens and clicks.
  • Advertising pixels: we use the Meta Pixel (Meta Platforms) and the Google tag (Google Analytics and Google Ads). They let Meta and Google measure our ads and show you our ads on other sites and apps (“targeted advertising”).

You can block or delete cookies in your browser; the cart and checkout need some cookies to work. To opt out of targeted advertising, email us (section 8), or change your ad settings in your Meta and Google accounts.

5. Who we share it with

Only with service providers who help us run the store and are bound to use it for that purpose:

  • Kinsta and Cloudflare: website hosting, security and delivery.
  • WooCommerce and FunnelKit (on our own site): store, cart, checkout and cart-recovery records.
  • Stripe: taking payments and preventing fraud.
  • Shipping carriers: delivering orders.
  • Klaviyo: order, shipping and marketing emails; site tracking.
  • Google Workspace: our mailbox and system emails.
  • Customer Reviews for WooCommerce: collecting and displaying reviews.
  • Beehiiv (when launched): our newsletter, for subscribers who opted in.
  • Meta and Google: advertising and measuring ads.

We may also disclose information to comply with the law, to respond to lawful requests, to protect our rights or prevent fraud, or as part of a sale or transfer of the business. We do not sell your personal information for money. Sharing browsing data with Meta and Google for advertising may count as a “sale” or “targeted advertising” under some state laws; you can opt out at any time as described in section 8.

6. Text messages

If you agree to receive texts, we use your phone number only for the messages you agreed to. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging consent and phone numbers are not shared with anyone except the service providers that deliver our messages. See the Text Message and Email Terms.

7. How long we keep it

Order and payment records: 7 years, for tax and accounting. Accounts: until you ask us to close them, or 3 years after your last order. Marketing contacts: until you unsubscribe, plus a suppression record so we don’t email you again. Consent records for memberships and texts: at least 3 years after the membership or consent ends.

8. Your choices and rights

Whatever state you live in, you can ask us to:

  • confirm whether we process your personal data, and get a copy of it;
  • correct it;
  • delete it (we keep what the law requires, such as order records for tax);
  • opt out of marketing emails (the unsubscribe link in any email), texts (reply STOP), targeted advertising, and any sale of your data.

Email hello@blacklabelfragrance.com with the subject “Privacy request”. We will verify your request using the email and order details on file, and respond within 45 days (up to 45 more days if needed, with notice and the reason). If we decline, you can appeal by replying to our decision with the subject “Privacy appeal”; we answer appeals within 60 days. If your appeal is denied, you may contact your state attorney general. We will not treat you differently for using these rights. An authorised agent may make a request for you where state law allows.

9. Security

The Site uses HTTPS encryption. Payments are handled by a PCI-compliant processor. Access to customer data is limited to the people and services that need it. No method of storage or transmission is completely secure, and we will notify you as required by law if a breach affects your information.

10. Children

The Site is for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, email us and we will delete it.

11. Changes

We will post any changes here and update the date at the top. If a change materially affects how we use information we already hold, we will tell you by email first.
